I suppose the turning point was realising how much of my digital footprint was visible to anyone who searched my name – old photos, comments I’d forgotten about. The app I’d like to talk about is a fairly simple note-taking app that syncs across my phone and laptop. It’s not exciting, and I doubt anyone would download it because it looks impressive, but I’d genuinely struggle without it.
I use it probably twenty or thirty times a day. Most of the time it’s for tiny things – a phone number someone reads out, a book a colleague recommends, an idea that comes to me on the bus. But it’s also where I keep longer things: checklists for site visits, drafts of emails I’m not ready to send, and a running list of mistakes I keep making in English, which I review every Sunday.
What makes it so useful isn’t any single feature. It’s that it’s completely seamless – whatever I write on my phone is already on my laptop by the time I open it, so I’ve stopped carrying paper notebooks altogether. In a way, it’s changed how I think: instead of trying to remember everything, I just capture it and trust that I’ll find it later.
That said, there’s a downside. Because it’s so easy to save things, I’ve ended up with hundreds of notes I never look at again, and occasionally I spend more time searching than I would have spent simply remembering. I’ve also had to think about what I store in it, since it’s an online service, so I don’t keep anything confidential there. But on balance, it’s one of the few apps on my phone that saves me time rather than taking it away, which is why I’d call it indispensable.

We've been testing a shared checklist app for site visits for the past month.
